Workspace Management
Administering and Controlling Workspaces
This article builds on concepts introduced in our overview of Bizcloud Workspaces. Familiarity with those basic concepts will help you better understand the workspace management principles discussed here - see About Bizcloud Workspaces.
The challenge of managing digital workspaces extends far beyond simple access control. Organizations must strike a delicate balance: enabling seamless collaboration while maintaining robust governance and security protocols. This balance becomes even more critical as digital assets and knowledge sharing form the backbone of modern operations.
Key aspects of workspace management include:
Access Control: Ensuring that only authorized personnel can view or modify sensitive information.
Resource Optimization: Maximizing the utility of digital assets and tools.
Compliance: Meeting regulatory requirements for data handling and privacy.
Risk Mitigation: Protecting against data breaches, intellectual property loss, and operational disruptions.
The Uni-UI's Workspace Administration function provides a comprehensive suite of tools to address these critical areas. Workspace management in the Bizcloud framework encompasses two distinct aspects: general workspace administration and advanced workspace control. General workspace administration involves basic setup and maintenance tasks, including:
Creation of workspaces, workspace administrators, and default portals
Activation of required pre-installed applications
Creation of new user accounts
Granting users access to required applications (view/edit/all permissions)
These fundamental administrative functions primarily concern the Uni-UI and are essential for the basic operation of a workspace. For more detailed information please refer to Workspace Administration.
Workspace Control, on the other hand, deals with the adaptive and dynamic aspects of workspace management. It focuses on controlling the "behavior" and "capabilities" of the active workspace, enabling access to external services, and managing how the workspace presents and exposes its content. This level of control is primarily exercised by Enterprise/Solution Architects (or "Platform Composers"), using the Workspace Control portal.
The concept of "control" in this context relates to:
Defining how workspace content is presented and exposed
Determining who is allowed to see and interact with the content
Specifying how users are allowed to interact with the content
Managing the adaptive nature of the workspace, including its ability to respond dynamically to various conditions and requirements set by the organization
The Workspace Control portal provides sophisticated tools and settings that allow for deep customization and fine-tuning of the workspace's behavior, going beyond basic administration to enable a truly adaptive and responsive digital environment. For more detailed information please refer to Workspace Control.
